How it's worked out

The calculator narrows your missed calls down to genuine new enquiries, then applies your own conversion, job value and recovery figures. Each step is applied once, so nothing is double-counted.

Worked example

A plumber misses about 10 calls a week while on jobs. They think about 40% are new enquiries, they normally win about half the enquiries they answer, an average job is worth $650 ex-GST, and they win back about half of missed new enquiries by calling back.

That's potential job value, not profit, and only if enquiries behave as estimated.

Assumptions

  • Missed calls include many kinds of call. Only the share you enter as genuine new enquiries is counted.
  • Your conversion rate is the rate for enquiries you normally answer. It's your estimate, not a guarantee that missed callers would have booked.
  • Average job value is what you'd charge, excluding GST. It is revenue, not profit: materials, labour and overheads still come out of it.
  • The recovery share removes enquiries you win back later by calling back, voicemail or text.
  • Working weeks default to 48 to allow for holidays and quiet periods. You can change this.
  • Results are estimates based entirely on your inputs, not a prediction of future income.

Does every missed call mean a lost job?

No. Many missed calls are existing customers, suppliers or spam, and some new callers ring back or would never have booked. The calculator only counts the share of new enquiries you enter, and removes the ones you recover.

Is the result my lost profit?

No. It's potential job value: what those jobs might have been charged, excluding GST. Your profit would be lower once materials, labour and overheads are taken out.

Why should I enter job value excluding GST?

GST you collect is passed on to the ATO, so it isn't income for your business. Using ex-GST figures keeps the estimate comparable with your other business numbers.

What conversion rate should I use?

Use your own experience of how many genuine enquiries you answer turn into paying jobs. If you're not sure, try a couple of different rates to see the range.

What does the recovery figure do?

It accounts for missed enquiries you win back later, for example by returning the call, from a voicemail or by text. The higher it is, the lower the estimate.

How can I reduce missed enquiries?

Call genuine enquiries back promptly, let callers know by voicemail or SMS that you'll be in touch, track where enquiries come from, and have a reliable way of handling calls while you're working.
